Our dynamic extracurricular programme is thoughtfully designed to enrich the core curriculum and support the holistic development of every child. By providing a vibrant environment to challenge themselves, we ensure students can discover hidden passions and achieve their full potential.
ECA Announcements
Extra Curricular Activity (ECA) Programme
HeadStart is committed to nurturing the interests and needs of our community. We are proud to offer an outstanding selection of extracurricular activities every week, including sports, creative arts and design clubs, STEAM clubs, modern foreign languages, academic boosters, extension programmes, instrument lessons, and sports academies. Extra Curricular Activities (ECAs) at HeadStart run on both campuses from Monday through Friday, with sports academies and some fee paid programmes taking place on Saturdays. ECAs are set at the beginning of the academic year and continue with as few disruptions as possible. Weekday ECAs are organised into specific afternoon time slots. Please note that Friday sessions begin and end 20 minutes earlier than the regular schedule.
HeadStart Free ECAs
HeadStart ECAs are led by our full-time teaching staff. These sessions run throughout the academic year and strictly follow the official ECA calendar. Activities include academic boosters, first language boosters, creative clubs, and selected sports. Primary and Secondary pupils are offered two HeadStart ECAs without charge. Selecting an Extra HeadStart ECA is allowed at an additional cost, provided places are available, and only after the initial booking period. Trial sessions are not offered for HeadStart ECAs, so full commitment for Term 1 or Terms 2 and 3 is expected. The fee for an Extra HeadStart ECA is set per term and remains at a fixed rate, regardless of when the pupil is officially enrolled.
HeadStart Fee Paid ECAs
HeadStart Fee Paid ECAs are typically led by our own qualified, full-time or part-time teaching staff. These programmes include Football, Swimming, Basketball, Dance, LAMDA, Robotics, Foundation Clubs, Hobby Crafts, and Foreign Languages. These sessions operate throughout the academic year and follow the exact same calendar dates as HeadStart ECAs. Fees vary depending on the specific programme and are published on the school website. Free tryout sessions are sometimes offered but are not guaranteed. Parents are invoiced twice per academic year, covering Term 1 and Terms 2 and 3. Pupils newly enrolled at HeadStart who start in Term 3 will be charged exactly 50% of the combined Terms 2 and 3 fee.
Fee Paid ECAs with External Providers
Fee Paid ECAs with External Providers are led by fully vetted and approved outside professionals. Sessions generally run throughout the academic year on campus, though some may utilise external venues or operate during school holidays. Programme fees are published online and invoiced twice yearly. Parents should choose carefully as free tryouts are rarely guaranteed, and pupils must commit for the full term. No refunds, school credits, or fee adjustments are provided for missed classes, mid-term cancellations, or late enrolment. Parents must complete a new booking for each registration period. Enrolments do not automatically roll over into Terms 2 and 3 unless the programme is part of a course leading to an external examination.
English as an Additional Language (EAL)
Designed for pupils requiring additional language support, these after-school sessions provide tailored guidance to help build English proficiency and confidence. To ensure targeted development, pupils who require this essential support are pre-enrolled before the standard online booking period opens.
Very Able Pupils Programmes (VAPPs)
Designed for our most capable learners, these extension programmes offer the chance to push beyond the standard curriculum. By engaging in advanced projects, complex problem-solving, and external competitions, highly motivated students can truly challenge themselves and maximize their potential.
Additional Educational Needs (AEN)
Tailored for students requiring extra academic assistance, this supportive programme focuses on reinforcing essential concepts. Through small group tutoring and targeted skills-building exercises, our dedicated Learning Support Department helps pupils build confidence, master their classwork, and reach their full potential.

This class, taught by our experienced Thai teacher, is an opportunity for foreign and half Thai students who would like to develop their Thai conversation & understanding. The class also includes basic reading and writing skills. This class will increase a student’s Thai vocabulary bank and instill confidence in a student to use Thai proficiently outside the classroom. The teacher will differentiate levels in the class to ensure that students reach their full potential. Music Club: Years 3 to 6 We will be expanding on our classroom activities, by introducing our students to all sorts of music and musical instruments. They will have a fantastic time making music with their friends, they will improve their social skills by learning to work together, and they will have a chance to be creative in a controlled environment. If your child is interested in music, then this is the perfect place for them.

They also receive coaching and support for the other key components of the Award – Skills, Service and Physical. It provides a time for reflection and collaboration with their groups to complete essential activities and tasks.

Robotics: Years 4 to 6 In Robotics (Years 4 to 6), you’ll get hands-on with VEX GO, a colorful, snap-together robotics system designed for younger students. Using easy-to-build parts and drag-and-drop coding, you’ll learn the basics of robotics, programming, and engineering through fun, interactive challenges. VEX GO helps you build problem-solving skills, explore STEM concepts, and work as a team—all while creating your own working robots. Robotics: Years 7 to 11 In the Robotics Years 7 to 11,you’ll have the opportunity to design, build, and program your own robots using the VEX IQ, this is a snap-together robotics system designed for upper and lower secondary students. It lets you build and program real robots using easy-to-use parts and a drag-and-drop coding interface. With VEX IQ, you’ll develop skills in engineering, programming, and teamwork through exciting challenges and competitions. Robotics: Years 10 to 13 In Robotics (Years 10 to 13), you’ll take your skills to the next level by designing, building, and programming advanced robots using VEX V5. This powerful platform features high-performance motors, sensors, and a versatile coding environment that supports both block-based and text programming. With VEX V5, you’ll deepen your understanding of engineering and computer science while working on real-world challenges and competitions that push your creativity and problem-solving abilities. HeadStart Dance Programme Tiny Tots Dance Play for Preschool Our Tiny Tots program is designed to improve coordination, encourage imagination, and develop physical and social skills in a developmentally appropriate environment. Above learning just dance steps, students will gain confidence, independence, and self-awareness. B-Boy: Reception Breaking, also referred to as breakdancing or b-boying/b-girling, is an energetic form of street dance that originated within African American communities in the United States. Although there is a wide range of diversity in the dance’s variations, it primarily comprises four distinct types of movements: toprock, downrock, power moves, and freezes. Breakdancing is commonly accompanied by music featuring drum breaks, particularly in genres like hip-hop, funk, soul, and breakbeat. However, contemporary trends have expanded the range of music styles that can be used, as long as they adhere to specific tempos and beat patterns. White & Pink Ballet: Early Years / Reception These classes will introduce the fundamental movements of Ballet, including jumping, skipping, turning and balancing, as well as learning about foot and body positioning with the use of games and narrative. Your child will be guided to explore and develop their musicality, storytelling and creativity. Dancers will have an opportunity to showcase their progress in their Foundation Assembly. Purple Ballet: Years 1 & 2 Your child will develop their understanding of Ballet; increasing their ballet vocabulary, learning how and why to warm-up effectively, and how to coordinate their arms (porte de bras) and footwork. Dancers will work on their extension, posture, strength, turn-out and flexibility, and gain confidence in incorporating a variety of movements into choreography. Their progression through these classes will be celebrated in their performances at the end of year Dance Recital. Blue Ballet: Years 3 to 5 Blue ballet will continue developing their execution of key ballet movements, increasing their strength and flexibility, and learning more challenging movements. Dancers will also work on combining steps to increase complexity, and how to effectively coordinate their upper body (épaulement) whilst dancing. Your child will also learn about dancing in solos, duets, trios and groups and have opportunities to increase their confidence in both improvisation and creating choreography. Black Ballet: Years 5 & 6 Dancers will work on their execution of more advanced ballet steps, such as pirouettes, arabesques and leaps. They will also gain understanding of different qualities of movement, both when they are performing and choreographing. Your child will also develop their collaboration and leadership skills, creating dances in groups and individually, and having opportunities to teach their choreography. Hip Hop Levels: Years 1 & 2 / Years 3 to 6 Hip hop is a high-energy class that infuses the latest styles of street dancing, breaking, popping and locking. Classes will encourage students to step outside of the box by bringing their style and personality to the movements. Jazz Levels: Year 1 & 2 / Years 3 & 4 / Years 5 & 6 / Years 7 to 13 Jazz class will focus on learning proper dance technique such as isolations of the body, improving performance quality and developing complex rhythms and patterns. Students will be exposed to various styles of jazz such as broadway, street and contemporary to help develop a well rounded dancer. Gymnastics Gymnastics class will familiarize your child with the basics of each move and practice listening skills and flexibility. As your child gets the hang of gymnastics, they will be able to smoothly transition into tumbling classes. Aerial Hammock Levels: Beginner / Intermediate / Advanced Aerial Hammock class is a fantastic class to start with to build upper body & core strength, learn the basics of all Aerial Arts, & work up to other apparatuses! The Hammock is the same fabric as the Silks, just tied differently in a U-shaped loop instead of two long pieces. Tiny Cheer Level: Foundation Tiny Cheer is another great opportunity to introduce your preschooler to the sport of cheer. This class includes dance moves with usage of pom poms, small amounts of gymnastics and steady poses. Cheerleading This class works on basic cheer jumps and chants, basic cheer movement and technique. This class includes doing a huge amount of gymnastics as it is one of the foundations in order to strengthen the student’s physical core so that they can lift another teammate up high or do tumbling tricks.

HeadStart Dance Company: Academy students The HeadStart Dance Company is for students with an intermediate to advanced dance technique level in one or more disciplines (ballet, jazz, hip hop, contemporary) and with a positive attitude for development. To be part of this group, students must audition and sign a commitment contract. They will need to train 3 to 5 hours per week within the schedule provided for the year. The dancers of HDC will be involved in the CAPA production, potential internal and external events including dance competitions and the end of year dance recital. LAMDA Introductory: Reception Our Reception classes give the students a chance to become familiar with the poems and activities needed for taking the exams in Year 1 without the pressure of having to take the exams. We spend our half hour moving and singing to fun songs, playing exciting games, learning funny poems, and talking about their favorite toys and games. They love to bring toys from home to tell the other children about them. Their work will culminate in a performance for a selected audience of parents and peers. Those who experience LAMDA in Reception have gone on to notably excel in their examinations in Year 1 and beyond. LAMDA Introductory: Year 1 / Year 2 For this course’s exam the students recite a poem, talk about a favorite toy, picture, or book as well as carry on a conversation about games they play and other topics the examiner might ask them about. The students learn self-confidence, presentation skills, vocal projection, and conversation skills from their preparation. In addition, they learn through games and fun activities to express themselves and work with others. Students gain permanent confidence and enjoyment in their ability to express themselves, becoming delightful, outgoing children. This year they will spend term 1 learning performance skills through fun games and activities, ending with a public presentation for an invited audience at the beginning of term 2. Parents are required to sign a Release and Liability Waiver before their child can participate in this ECA Brazilian Jiu Jitsu: ages 4 & 5 Early Years Pupils can join in Term 2. The Brazilian Jiu Jitsu programme will introduce young children to martial arts and the basic concepts of grappling through a variety of simple exercises and games. The goal of the program is to help participants develop confidence and basic athletic skills such as balance, coordination and strength- hopefully encouraging them to continue their martial arts journeys and giving them a solid base to build from. Brazilian Jiu Jitsu Beginners: Years 1 to 6 The Brazilian Jiu Jitsu beginners program will continue to use a variety of exercises and games in order to introduce students to martial arts and the basic concepts of Jiu-Jitsu and grappling. Participants will also begin to learn basic Jiu-Jitsu/grappling positions and techniques through simple drills as well as the introduction of controlled specific grappling sparring (no striking). This allows children to test the skills they are learning in a safe controlled environment and helps them to develop confidence and basic self-defense skills. Mixed Martial Arts: Years 5 to 13 In the Mixed Martial Arts program participants will get the opportunity to experience training in different styles of martial arts, including basic grappling and striking techniques from boxing, Muay Thai, wrestling and Jiu Jitsu. Lessons will involve simple exercises, drills and games where students will learn the basics of each martial art and begin to combine them. As with all martial arts training, the goal is for students to develop confidence, self-defense skills and basic athletic attributes. All classes are taught by a multiple-time champion, Brazilian Jiu Jitsu Black belt and professional MMA fighter who competes at an international level.

Primary English VAPP: Years 5 & 6 Each term, the Primary Magazine Club will work to produce a magazine, written and designed by our students, informing the HeadStart Community about what’s going on in and around school. Students will learn about journalism, how to interview, content, layout, project management and have the opportunity to walk away with a complete product they can be proud of. English VAPP_World Scholar’s Cup: Years 7 to 10 This is an academic competition. But it’s different from other competitions, in that it’s probably not even a competition. It is a celebration. Instead of focusing on memorising facts, WSC is all about applying them and relating them to the world around us. You don’t need to know that Victor Hugo was a realist; you need to know what artwork might have interested him the most. You may learn about the housing bubble, or why Yue Minjun painted five unclothed men laughing in front of five white birds, and debate whether there will be another bubble even when we most expect it, or what a painting of laughing men could mean in a regime that never laughs at itself. Whatever you do, you’re celebrating learning, even if you don’t think you like learning. Before you know it, you’ll be asking for more topics to explore. I can’t believe that I haven’t mentioned alpacas yet. You can get different types of alpacas at tournaments, such as furry ones, finger puppets, or even genetically modified alphabears. You’ll have a great experience. You’ll make new friends and learn from other people. Even though you’ll have to study a lot and research a lot, you’ll love doing it. Is it challenging? Yes. Can it be frightening? Yes. Will it be fun? Absolutely. Welcome to the World Scholar’s Cup; welcome to the greatest festival of learning in the world. Tiny Tots Dance Play for Preschool Our Tiny Tots program is designed to improve coordination, encourage imagination, and develop physical and social skills in a developmentally appropriate environment. They love to bring toys from home to tell the other children about them. Their work will culminate in a performance for a selected audience of parents and peers. Those who experience LAMDA in Reception have gone on to notably excel in their examinations in Year 1 and beyond. LAMDA Introductory: Year 1 / Year 2 For this course’s exam the students recite a poem, talk about a favorite toy, picture, or book as well as carry on a conversation about games they play and other topics the examiner might ask them about. The goal of the program is to help participants develop confidence and basic athletic skills such as balance, coordination and strength- hopefully encouraging them to continue their martial arts journeys and giving them a solid base to build from. Brazilian Jiu Jitsu Beginners: Years 1 to 6 The Brazilian Jiu Jitsu beginners program will continue to use a variety of exercises and games in order to introduce students to martial arts and the basic concepts of Jiu-Jitsu and grappling. Participants will also begin to learn basic Jiu-Jitsu/grappling positions and techniques through simple drills as well as the introduction of controlled specific grappling sparring (no striking). We focus on developing motor skills, hand-eye coordination, and a love for the game — not on technical perfection. This is a one way route. Parents are expected to collect their child from Dome Tennis at 16:30. At this stage, Primary children develop strong tennis fundamentals while enjoying active, motivating sessions. English VAPP_World Scholar’s Cup: Years 8 to 11 This is an academic competition. But it’s different from other competitions, in that it’s probably not even a competition. It is a celebration. Instead of focusing on memorising facts, WSC is all about applying them and relating them to the world around us. You don’t need to know that Victor Hugo was a realist; you need to know what artwork might have interested him the most. You may learn about the housing bubble, or why Yue Minjun painted five unclothed men laughing in front of five white birds, and debate whether there will be another bubble even when we most expect it, or what a painting of laughing men could mean in a regime that never laughs at itself. Whatever you do, you’re celebrating learning, even if you don’t think you like learning. Before you know it, you’ll be asking for more topics to explore. I can’t believe that I haven’t mentioned alpacas yet. You can get different types of alpacas at tournaments, such as furry ones, finger puppets, or even genetically modified alpabears. You’ll have a great experience. You’ll make new friends and learn from other people. Even though you’ll have to study a lot and research a lot, you’ll love doing it. Is it challenging? Yes. Introduction & Types of ECAs
HeadStart ECA Policy & Procedures 2026 – 2027
HeadStart International School is committed to nurturing the interests and needs of our community. We are proud to offer an outstanding selection of extracurricular activities per week, which include sports, creative arts and design clubs, STEAM clubs, modern foreign languages, academic boosters, extension programmes, instrument lessons, and sports academies.
ECAs at HeadStart run on both campuses, Monday through Friday, with HeadStart’s sports academies and some fee-paid programmes running on Saturdays.
ECAs are set at the beginning of the academic year and continue for the duration of the year with as few disruptions as possible.
On weekdays, ECAs are organised into the following time slots:
- 14:30-15:15 – ECA Timeslot 1 –Foundation ECAs
- 15:30-16:20 – ECA Timeslot 2 –HeadStart ECAs / Fee Paid ECAs / ECAs with External Providers
- 16:30-17:20 – ECA Timeslot 3 –HeadStart Fee Paid ECAs / ECAs with External Providers
- 16:30-18:00 – Academy Timeslot – HeadStart Academies / ECAs with External Providers
- *On Friday, ECAs begin and end 20 minutes earlier.
ECAs do not run on weekends immediately before or after a school holiday, whole-school events (e.g., International Day), or days when the school is closed.
HeadStart ECAs
HeadStart ECAs are led by our full-time teaching staff. These sessions run throughout the academic year and follow the ECA calendar.
This list of activities include academic boosters, first language boosters, creative clubs and some sports.
Primary and Secondary pupils are offered two HeadStart ECAs without charge.
Selecting more than two HeadStart ECAs is allowed at an additional cost, if places are still available, and only after the booking period at the start of term. Trial sessions are not offered for HeadStart ECAs; commitment for Term 1 or Terms 2 & 3 is expected.
The fee for an Extra HeadStart ECA is set per term and remains the same rate, regardless of when the pupil is enrolled.
Fee Paid ECAs & External Providers
Fee Paid Programmes
Fees for fee-paid ECAs are determined at the beginning of each academic year and published on the school’s website. Fees vary depending on the programme.
Free Try Out Sessions may be offered at the beginning of a term, although these are not guaranteed for every programme. Parents are encouraged to carefully consider their selection before enrolling their child in a fee-paid ECA. Once enrolled, pupils are expected to commit to the programme for the duration of the term.
Parents are invoiced twice per academic year: once in Term 1 and once for Terms 2 and 3. Once an invoice has been issued through the Parent Portal, it cannot be cancelled or amended.
There is no pro-rata fee for pupils joining an ECA after the start of a term. The only exception applies to new pupils joining HeadStart in Term 3, who will be charged 50% of the Terms 2 and 3 fee.
No refunds, school credits, or fee adjustments will be provided for missed classes, partial attendance, or if a parent or pupil withdraws from an ECA before the end of the term.
Parents must complete a new booking during each ECA registration period. Enrolments do not automatically roll over from Term 1 into Terms 2 and 3, unless the programme is part of a course leading to an external examination.
Children who are not enrolled at HeadStart International School may participate in selected fee-paid programmes that take place after 16:30 or on Saturdays. Non-HeadStart participants will be issued a Weekend ECA Pass upon successful registration.
Types of Fee Paid ECAs
HeadStart Fee Paid ECAs are led by our full time or part time HeadStart Teaching Staff. These ECAs include our Football, Swimming, Basketball, Dance, LAMDA, Robotics, Foundation Clubs, Hobby Crafts, Languages (Thai / Russian / Mandarin).
Fee Paid ECAs with External Providers usually take place on campus but may occur at an external venue. Outsourced programmes are selected by the Director of ECAs and approved by the CEO.
Non-HeadStart teachers and coaches involved in these programmes are vetted by ECA Management and are qualified to teach their subject, sport, or skill. The External Programme Coordinator communicates directly with the Director of ECAs or the ECA Manager regarding the content and limitations of the programme.
Duty of Care & Class Size
Duty of Care
The duty of care for Foundation and Primary students has been clearly defined for all ECAs operating in each timeslot. For fee-paid programmes delivered by external providers at an off-site venue, responsibility for the students transfers to the provider from the moment the students leave the school premises.
ECA Class Size
To ensure quality and safety, ECAs have a minimum and maximum number of pupils allowed. This number is pre-set within the booking software.
If an ECA has fewer than the minimum number of pupils booked or enrolled, it will be cancelled. The ECA Manager will contact affected individuals and help find an alternative solution.
Booster Policy & Academic Support
Booster Policy
Boosters provide academic support for pupils working below age-related or exam-related expectations. They are designed to help pupils achieve the expected level. HeadStart offers booster sessions in all core subjects for pupils in Years 3 to 9, as well as IGCSE, BTEC, and A Level subjects for pupils in Years 10 to 13.
A pupil is assigned to a booster by the Head of School or Head of Faculty based on previous exam results or assessment data. Boosters cannot be selected by parents or pupils. Pupils are ‘pre-enrolled’ into a booster before the online booking opens. Newly enrolled pupils are not immediately placed into boosters unless recommended by the Head.
Parents of pupils identified as needing a booster will be notified by email. Secondary pupils will be notified by the Head of School or Head of Faculty for the subject. Pupils will not be allowed to sign up for another ECA during the same time slot.
If a pupil no longer needs to attend a booster, the Head of Primary or the Head of Faculty will email the parent to inform them, and they will be allowed to select another HeadStart ECA in its place.
Academic boosters are classified as ‘HeadStart ECAs’ and count towards a pupil’s two free ECAs. Pupils assigned to two or more boosters will be allowed to select one additional club or sport from the available HeadStart ECAs at no additional charge.
Many Year 10 IGCSE boosters and Year 12 A Level boosters start in Term 2.
Year 11 IGCSE and BTEC, Year 12 AS Level and Year 13 A Level boosters end after their final exam. In this case, pupils may sign up for available activities for the remainder of Term 3.
AEN – Additional Educational Needs
Pupils are offered individually tailored support through our AEN Programme.
The Head of School and the AEN Coordinator will communicate with parents of a pupil identified as needing additional support. Pupils will be pre-enrolled into these sessions and should not enrol in any other type of ECA at this time.
VAPPs & Enrichment
VAPPs – Very Able Pupil Programmes
VAPPs are enrichment programmes designed for our highest-performing, A-A* pupils from Year 5 to Year 13. Heads of Faculties will invite pupils to enrol based on previous exam or assessment data. VAPPs are offered in addition to a pupil’s 2 free HeadStart ECAs.
VAPPs cannot be booked through the Parent or Pupil Portal; they are pre-enrolled by the ECA Manager before the online booking opens.
If you are unsure whether you are eligible for a VAPP, please contact the Head of Primary, Head of Secondary, or Head of Faculty.
If your child has been booked into more than one VAPP or a timeslot that clashes with another programme, or they have no interest in enrolling, please contact the ECA Manager and Head of Faculty to inform them and have the session removed from their timetable.
Booking & Enrollment Procedures
All ECAs are booked through the Parent Portal. The booking period is open for a predetermined timeframe, as announced by email and on the school’s website.
Before online booking opens, pupils may be pre-enrolled in Academic Boosters, English as an Additional Language (EAL) after-school sessions, Additional Educational Needs (AEN) programmes, Very Able Pupil Programmes (VAPPs), and selected Academies.
Secondary pupils may book their own free HeadStart ECAs through the Pupil Portal. However, all fee-paid programmes must be booked by a parent or guardian through the Parent Portal.
Before each booking period, a list of available ECAs for the upcoming term will be published on the school’s website and displayed on the ECA bulletin board. Activities will also be visible on the Parent Portal several days before booking opens.
To ensure the stability of the booking system, booking is opened in phases during the first two weeks. Although the booking page may appear open (green), parents may only book during their child’s designated booking window.
All ECAs are allocated on a first-come, first-served basis, subject to availability. Parents who miss the booking period may add their child to the waiting list, which is managed in order of entry from the date of ECA enrolment.

Booking Phases Explained
Booking Phase 1: Admin pre-enrolls boosters, VAPPs, EAL & AEN.
Booking Phase 2: Online booking is open to Parents & Secondary pupils. Parents and Secondary pupils can select up to two Free HeadStart ECAs. Only Parents can select Fee Paid Programmes.
*This booking phase is broken up into smaller groups of users for 24- 48 hours each to prevent overloading the portal.
Booking Phase 3: Online booking is open to Parents & Secondary pupils. Parents and Secondary pupils can adjust and add to their selected ECAs. Only Parents can select or adjust Fee Paid Programmes.
Booking Phase 4: Booking is open to ECA Admin until the end of Term, allowing them to make adjustments as needed. Parents wishing to enrol their child in a 4th or 5th ‘HeadStart ECA’ should contact the ECA Manager.
ECA Booking Schedule
Term 1: ECAs are booked over the first and second week of term. ECAs begin in the third week of term, and invoices for fee paid ECAs are raised in the Parent Portal at the end of that same week. Parents must pay ECA fees within one week of receiving the invoice. Unpaid fees may result in their child losing their place in the ECA.
All types of ECAs finish at the end of the penultimate week of Term 1.
Term 2: ECAs are booked during the first week of term. ECAs begin in the second week, and invoices for fee-paid ECAs are raised in the Parent Portal at the end of that same week.
All types of ECAs finish at the end of the penultimate week of Term 2.
Term 3: No online booking; ECAs continue from Term 2 and begin on the first day of term.
All types of ECAs finish three to four weeks before the end of Term 3, allowing HeadStart Staff to end the academic year smoothly with reports, meetings, and school events.
Registers
Registers are taken at the start of every ECA session. The register shows all pupils who are enrolled on the Portal. Pupils who show up to an ECA but are not on the register should be sent to the ECA Office, where a member of the ECA Team will help to check their timetable, contact their parents, or correct their enrollment on the portal.
Behaviour
Pupils should adhere to the same standard of behaviour expected at HeadStart throughout the school day. In cases of repeated misbehaviour, an ECA teacher will contact the parents to inform them. If unwanted behaviour continues, the pupil will be removed from the ECA, and their place will be forfeited. Teachers will follow HeadStart’s discipline policy for all behavioural issues.
Oversight & Pickup Procedures
Foundation
Pupils are collected from their homeroom by the ECA teacher and taken to the location of their class or activity. At 15:10, parents should collect their child from the ECA location promptly. Pupils who are not collected will be taken by the ECA teacher to the Foundation late pickup area, where a parent or guardian must sign the pupil out.
Years 1 & 2
Pupils are collected from their homeroom by the ECA teacher or a designated adult and brought to the location of their class or activity. Parents should collect their child from the ECA location promptly at 16:20. Years 3 to 6
Pupils are expected to make their own way to their ECAs between 15:20 and 15:30. Parents should collect their child from the ECA location promptly at 16:20. Pupils who are not collected will be taken by the ECA teacher to the dining hall, where a parent or guardian must sign the pupil out.
Secondary
Pupils are expected to make their own way to their ECAs independently. They will be dismissed after the lesson and should follow regular school procedures for pickup times and locations.
Secondary Pupils collecting younger siblings
Foundation and Primary pupils are only allowed to leave the school campus if they are collected by a parent or authorised adult.
If a parent would like their Secondary child to collect a younger sibling after school at 15:20, or after an ECA at 16:20, they must collect a permission form from the Admin office to request authorisation for this arrangement.
Once authorised, the information will be added to the back of the Secondary sibling’s school pass. The Secondary sibling must show the back of their school pass to the supervising adult in order to collect their younger sibling.
Academies, Staff Duties & Camps
Academy Information and Try Outs
HeadStart runs an academy programme for high-performing pupils who train and represent the school in football, basketball, and swimming as HeadStart Panthers, or in dance or creative arts as CAPA HeadStars.
Tryouts for pupils wishing to secure a place in one of HeadStart’s academies are held in the first two weeks of the academic year. Pupils will be notified if they have been accepted into an academy.
Pupils who join HeadStart mid-year can arrange a tryout session with the Head Coach of the academy to assess their eligibility.
Academy fees are set by the CEO and do not follow the same fee rates as ECAs.
Academy Schedule
Term 1: Academy tryouts run in the first week of the term. Academies begin on the first day of term (with their current members) and run until the penultimate week of Term 1.
Term 2: Academies start on the first day of Term 2 and run until the penultimate week of Term 2.
Term 3: Academies start on the first day of Term 3 and finish three to four weeks before the end of the academic year.
Responsibilities of the ECA Teacher / Provider
- The ECA Teacher is responsible for the safety and well-being of students in their class for the duration of the ECA period and until they have been collected by a parent or brought to the designated late pickup area and handed over to another responsible adult.
- Take registers at the start of every session, for safety and tracking purposes.
- Contact parents regarding continued or unknown absences.
- Organise a suitable replacement and class plan in the event of teacher absence.
HeadStart Camps
The ECA Team also organises Mini Camps and Holiday Camps during school holidays and mid-term breaks. These programmes may be staffed by HeadStart employees, external teachers, coaches, or specialist providers, depending on the nature of the activities.
Camp activities are primarily held on HeadStart campuses but may also include educational trips or events in partnership with external venues and organisations. All camps are advertised through the school’s official communication channels, and a separate registration and booking process is implemented for each programme.
